This policy is addendum to the Afaq IT policies to support the effective and safe use of student information for the use of mobile apps.

Process

Administration staff will ensure that all necessary data is required by the Awarding Organisation from the candidate to properly register and manage each individual’s qualifications.

Candidates will then be entered for the award on SQA information system and once this process is complete the form will be filed and stored.

The Administrator will use the Afaq address to register the Learner, this will ensure all Certificates are sent to Afaq and then it will then be sent to the Learner. All certificates are sent to the learner with a confirmation of the receipt of Certificates form which should be filled and signed by the learner and returned to Afaq.

If a candidate changes address or a candidate is withdrawn the program, the assessor will ensure that a ‘Change of Candidate details’ form is completed which the assessor will pass to the Centre Contact(s) for processing and updating SQA database via SQA connect.

Data Cleansing

Administration staff shall ensure that the candidate details on SQA Connect system are correct and shall update information where necessary.

Candidates not yet certificated will be checked with SQA to ensure that the results are not being blocked. Where learners leave the programme, the assessor shall inform the SQA office of achievements gained by the learner.
